    Job Summary

    As the Proposal Coordinator, you will be responsible for coordinating tight timelines and tasks, structuring bid packages, obtaining supervisor approval, and sending the proposal to the appropriate source.

    Job Description

    We are looking for a Proposal Coordinator to coordinate tight timelines and tasks, structure bid packages, and send proposals to the appropriate source. This position will be full-time and remote .

    What You'll Do

    • Conduct thorough research to understand the project, client needs, and objectives

    • Gather relevant data, statistics, and supporting information

    • Examine and process all sections and parts of the solicitation documentation

    • Ensure all forms, exhibits, attachments, and forms are accounted for and accurately incorporated

    • Create and manage a bid response schedule and tasks list. Ensure that all team members understand their roles, responsibilities, and deadlines

    • Schedule and coordinate regular meetings with team members to check the progress of the bid development activities

    • Use company templates for proposals to maintain a sense of consistency within the department

    • Manage time efficiently to meet proposal submission deadlines

    • Occasionally present proposals to decision-makers or clients

    • Articulate key points effectively

    • Give presentations to the executive board

    What You'll Need

    Required

    • Expert knowledge and practical application experience with Microsoft tools suite (i.e., Word, Excel, Outlook, Teams, SharePoint, PowerPoint, Visio)

    • Able to identify, evaluate, and use sound judgment to generate and evaluate alternative actions and make recommendations accordingly

    • Experience writing or coordinating bid responses for government related bid solicitations such as; Request for Proposal (RFP), Request for Quote (RFQ),

    • Meet deadlines by prioritizing responsibilities and balancing workload

    • Bachelor's degree in journalism, communications, English, or related field

    Preferred

    • Project Management Institute (PMI) Project Management Professional (PMP)®, Certified Associate in Project Management (CAPM)® preferred.

    • Experience with Microsoft Project is a plus

    • Experience writing or coordinating bid responses for government related bid solicitations such as; Request for Proposal (RFP), Request for Quote (RFQ), Invitation to Negotiate (ITN), Invitation to Bid (ITB) is preferred

    Physical Demands

    • Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards

    • Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.

    • Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
