    Kadiak, LLC, a Koniag Government Services company , is seeking an Executive Assistant- Office Manager with a Top-Secret Clearance to support Kadiak and our government customer in Washington, DC.

    The Executive Assistant-Office Manager is responsible for a wide range of administrative tasks and support to the Accounting and Technology Section. The position requires an experienced, reliable, and task-oriented individual who will support the front office, various executives, and office matters. The ideal candidate is a highly self-motivated professional who can manage their workload and prioritize tasks in a fast-paced environment.

    Essential Functions, Responsibilities & Duties may include, but are not limited to:

    • Provides administrative support to the client leadership team, to include first drafts of correspondence, reports, and meeting materials; first drafts of presentations; travel arrangements and preparation of expense reports; extensive scheduling and calendar management; research projects; office and project support to facilitate the leadership team's productivity during times of business travel; screen and return phone calls; make copies; scan materials; and other tasks as requested.

    • Help the Executive stay on track with tasks and when necessary, assist with prioritization of tasks.

    • Highly capable with in Calendar management to support appointment and meeting deconfliction

    • Able to support management of travel itineraries.

    • Maintain an organized filing system of paper and electronic documents.

    • Uphold a strict level of confidentiality.

    • Develop and sustain a level of professionalism among staff and clientele.

    • Manage the organizations Action list as tracked by upper-level executives.

    • Assist with conducting inventory audits.

    • Develop and support internal organizational systems, including project management tools for the leadership team, contract management system, and ethics and compliance tools.

    • Assist with preparation of quarterly dashboard reports and review and edit other materials for Board packets.

    • Office administration, including interfacing with building POCs and any related actions required.

    • Assist other company administrative staff with special projects related to Board meetings, shareholder events, staff meetings, and other office functions.

    • Recruiting and hiring staff support

    • All other duties as assigned.

    Work Experience, Knowledge, Skills & Abilities:

    • Top Secret Clearance Required

    • 3+ years of progressive administrative experience directly supporting a senior executive.

    • Experience providing administrative support to senior executives.

    • Must be able to manage multiple competing demands and high-volume projects and deadlines with no decrease in productivity in an often fast-paced work environment.

    • Strong computer skills with a high proficiency with Microsoft Office Suite, Microsoft SharePoint, MS Teams, and Adobe products; willingness to learn new programs and software as needed.

    • Excellent interpersonal skills: must be a self-starter and be able to work independently and interact effectively with all levels of the organization.

    • Excellent oral and written communications skills.

    • High ethical standards and the ability to maintain confidential information.

    • Excellent organization and multi-tasking skills, detail oriented, and show care and concern for final work product.

    • Must have manual dexterity to operate computer keyboard and standard office equipment.

    • Consistency and dependable attendance and amenable to occasionally irregular schedules and rare but possible weekend work when section required.

    Education:

    • Minimum bachelor's degree from an accredited college or university in a relevant field. (Experience can be used as substitute)

    Working Environment & Conditions

    This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

    This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.

    The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
